Phoenix P21 Order & Quote History

Viewing Orders and Quotes in One Place

Logged-in customers can view their complete order and quote history directly from the My Account section of the Phoenix website. This history includes activity created through the Phoenix eCommerce site as well as activity entered directly into Prophet 21 (P21) by your internal team.

The result is a single, unified view of customer activity, without separating “web” transactions from “ERP” transactions.

P21-Driven Visibility and Approval Rules

Phoenix only displays orders and quotes that have been formally approved in Prophet 21. This ensures customers see accurate, finalized data that aligns with your internal business processes.

• Quotes are pulled directly from P21 quotes that have the Approved flag checked
• Orders are also displayed only after they have been approved in P21

This approval requirement prevents confusion and ensures customers are only viewing valid, actionable documents.

Order Status Tracking

Within the order history section, customers can clearly see the current status of each order. Phoenix supports visibility into:

• Open orders
• Orders in process
• Closed orders

This allows customers to quickly understand where each order stands without needing to contact customer service.

Detailed Order Line Information

When a customer drills into an individual order, Phoenix provides detailed line-level information beyond basic item data. In addition to item ID, description, price, and unit of measure (UOM), customers can see:

• Quantity requested
• Quantity shipped
• Quantity on backorder
• Backorder dates, when applicable

This level of transparency helps customers understand partial shipments, outstanding quantities, and expected fulfillment timelines.

Quote History and Online Conversion to Orders

Phoenix also provides full visibility into approved P21 quotes. Customers can review quote details online just like orders, including item pricing and quantities.

In addition, Phoenix allows customers to electronically convert an approved quote into an order directly from the website. This eliminates manual re-entry, reduces errors, and speeds up the order process.

A Self-Service Experience Backed by P21

By exposing approved P21 orders and quotes through the website, Phoenix empowers customers to self-serve common information such as order status, shipment progress, and historical purchasing data.
